Sime Darby Group’s Compliance team conducted a review of its Whistleblowing and Police Reporting procedures, and wanted to establish its protocols before presenting its findings and materials to management for endorsement and to the Audit Committee for approval.
Sime Darby Berhad engaged the services of Trident Integrity as an external expert to help them analyse and assess the current protocols in place before making recommendations on how to improve their systems.
The central issue that Sime Darby wanted to solve was when and how should they involve police authorities when an incident of bribery or corruption takes place.
Trident Integrity examined their current procedures including reviewing relevant documentation provided by Sime Darby on their Whistleblowing and Police Reporting Protocols. These documents included:
- Draft initial response protocols or police reporting protocols
- A Notification and Reporting Framework
- A review of the actual protocol that takes place after a report has been lodged
These reviews were conducted using international best practices as the benchmark standard in order to ensure that each aspect of the company’s policies were built to the highest standards.
Following the review, Trident provided reports for Sime Darby with comments on the weaknesses of their current system, and recommendations on potential improvements for their Whistleblowing and Police Reporting protocols. The Trident team also debrief Sime Darby’s Compliance division on their findings before presenting their finals reports.
Among the final deliverables presented to the Sime Darby team were:
- Comments and recommendations for improvement of their Initial Reponse Protocol
- Comments and recommendations for improvement of their Police Reporting Protocol
- Flowcharts
